Preparations

You have decided which columns you would like to have in the Board

You have created a search that includes a status field that includes a value that matches your criteria for a card to show up in a specific column


To Create a New Column (Column Tab) - click on New Column

Column Name

COLUMN NAME - The heading name of the column in the board

COLUMN ORDER - The order that the column will show on the board

Column Condition

CONDITION COLUMN - In this field you chose the field from the search that will decide in which column the card ends up.
A recommendation is that you name this field to Status (not mandatory).

OPERATOR - The available operators to choose from depends on the field type (see CONDITION COLUMN FIELD TYPE)

  • List/Record - (Any of, None of) - Select the value you want the field to have to end up in this column. You select value in the VALUE1 Muliteselect box
    Example above.

    OBS! - THE CONTENT IN THE VALUE BOX ONLY SHOW UNIQUE VALUES THAT EXIST IN THE SEARCH RESULT. THEREFORE YOU MUST MAKE SURE THAT THE SEARCH INCLUDES AT LEAST ONE ROW OF EACH VALUE TO BE ABLE TO PICK THAT VALUE!

  • Free form text - (Any, Contains, Does not contain, Does not start with, Equal To, Has Keywords, Is, Is Empty, Is not, Is not Empty, Starts with - Set the value in Value1 field box.

  • Integer - (Any, Between, Equal To, Greater than, Greater than or equal to, Is Empty, Is not Empty, Less than, Less than or equal to, Not greater than, Not greater than or equal to, Not less than, Not less than or equal to) - Set the value in Value1 field box.

  • Date - (After, Before, Is Empty, Is not Empty, Not after, Not before, Not on, Not on nor Before, Not on or after, Not within, On, On or after, On or before, Within

    When choosing Date you should mark the checkbox Relative Date 1.
    Use the formula builder to set a value in the field DATE1
    Example 1 below.

    If the date operator is an interval operator (Within, Not within) you have two dates that should be set. Mark both chechboxes Relative Date 1 and Relative Date 2.
    Use the formula builders to set a value in the field DATE1 and DATE 2
    Example 2 below.

Column Details

ALLOW DRAG TO - Here you do the settings for how a Card is allowed to be moved between the different columns. This setting can not be completed before all Columns are created.

TIP! To be able to move a card up and down in the column, the column must be selected in this list.

INCLUDE CARD MENUS - Here you select which Menu options that should be selectable for cards in this column. For more information on Card Menus go to Card Menus >>

When done with all settings click Save.

After you have saved your settings, open the column settings again.

Go to the sub tab Drop Actions and Click on New Drop Action

Drop Actions

Drop Actions are used to set field values when you move a card from one column to an other.
In most cases every column has at least one Drop Action and that is to set the status field so it matches the criteria for the new column.

An exception would be if you don´t want to allow the users to move the card. It could be that they should change the value via the record instead.

DROP ACTION NAME - Set a name that describes the Action

ORDER OF DROP ACTION - Select the order in which this drop actions should be done (only neccesary if you have several drop actions in the same column and if there is a dependensi between the fields).

DROP ACTION TYPE - Set Field On Record (when moving the card to this column a field value will be set)

SELECT RECORD TYPE TO UPDATE - In most cases you should choose [Current Card Record Type], but this choice also gives you the possibility to update a field on another related record (must be connected to your card via a list/Record value.

SELECT RECORD ID - In most cases you should chose [CARD ID], but if you have chosen another record type to update you can select that list/record field in the list (it is fields from the search you see in the list)

SELECT FIELD TO UPDATE - Choose the field from your search that should be updated.

  • SELECT VALUE FROM CARD DATA - Via this drop down you can choose a value from the search or you can use one of the dynamic choses ([Current User], [Today]] to set the field value.

    Current user is often used when a user wants to assign a card to themself

  • VALUE 1 - If the field is a List/Record field you can select what value the drop action should set on the field. You select value in the VALUE1 select box that displays values for the chosen field. (Although this is a multi select box, you should only set one value.)

    PLEASE NOTE! - THE CONTENT IN THE VALUE BOX ONLY SHOW UNIQUE VALUES THAT EXIST IN THE SEARCH RESULT. THERE FOR YOU MUST MAKE SURE THAT THE SEARCH INCLUDES AT LEAST ONE ROW OF EACH VALUE TO BE ABLE TO PICK THAT VALUE!

    If the field is a number or free form text field you must set the value your self.


    ONLY USE ONE OF SELECT VALUE FROM CARD DATA and VALUE 1
