KPI's

Preparations

KPI's in the Board header is a powerful tool to give you the information you need at a glance!

  • Before you start creating your own KPI's you must decide what you want to measure.

  • Make sure that the data is available in the search, if not, add it in the search (if you don't want to show the data on the card just set availability on the field to hidden (see visibility under Configuration - Field Settings)

Setup a new KPI

Under the tab KPI click on New KPI Field

KPI NAME - Name of the KPI. This will show as the KPI name on the board

HIDE LABEL - Check if you only want to show the KPI and not the label

ORDER ON BOARD - In which order do you want the KPI to be displayed on the board header

KPI FIELD - Select the field to base your KPI on

SUMMARY TYPE - Here you chose how you want to calculate the selected KPI Field

  • Average (Add all numbers and calculate an average value - only works for Integer, Decimals and Currency fields)

  • Count (Counts all cards, not the unique value)

  • Max (selects the highest)

  • Min (selects the lowest)

  • Sum (add all numbers - only works for Integer, Decimals and Currency fields)

ROUNDING - How do you want to round your KPI (only works for Integer, Decimals and Currency)

Background Color - Choose the background color for your KPI

TEXT Color - Choose the text color for your KPI

As you see in the example above , the first KPI is named Open Tasks and it counts the status field.
There are 4 cards with statuses in the board and therefore it shows 4. But only two of the cards is in a column were the task is open and two task are in status completed. To get a correct count we need to use filters for each KPI.

On the KPI score sub tab Filters click New KPI Filter

FILTER FOR KPI's

FILTER FIELD - In this field you choose the field from the search that you want to use to filter your KPI.

OPERATOR - The available operators to choose from depends on the field type (see CONDITION COLUMN FIELD TYPE)

    Example above.

NOTE! - THE CONTENT IN THE VALUE BOX ONLY SHOW UNIQUE VALUES THAT EXIST IN THE SEARCH RESULT. THERE FOR YOU MUST MAKE SURE THAT THE SEARCH INCLUDES AT LEAST ONE ROW OF EACH VALUE TO BE ABLE TO PICK THAT VALUE (ONLY IMPORTANT DURING SETUP)!

Use the formula builder to set a value in the field DATE1
    Example 1 below.

If the date operator is an interval operator (Within, Not within) you have two dates that should be set. Mark both checkboxes Relative Date 1 and Relative Date 2.
Use the formula builders to set a value in the field DATE1 and DATE 2
    Example 2 below.

When done with a filter, open the Board an validate the result.
